Every SIGNATURE user needs a digital employee profile in Business; that profile supplies the personal and contact data for the signature. Organisations can design signatures centrally, assign them to employees and insert them automatically into new Outlook drafts. identDIGITAL does not read or send emails.

When a telephone number, job title, department, website or profile photo changes, an authorised administrator updates the digital employee profile centrally in identDIGITAL Business. The SIGNATURE add-on then inserts the current assigned signature in the employee's next new Outlook draft. Existing drafts and emails already sent are not changed retrospectively.

- Connect Microsoft 365: An administrator grants the intended tenant consent and synchronises only the directory information required.
- Match employees: Microsoft users are matched to the appropriate digital employee profiles in identDIGITAL Business.
- Set the design and rules: Configure a central design, individual exceptions, versions, banners and campaigns.
- Sign in to the add-in once: The employee opens “identDIGITAL Signatures” in Outlook and signs in once with their work Microsoft 365 account.
- Create a new email: The currently assigned signature is automatically inserted into the next new Outlook draft.

For common Microsoft 365 Outlook environments
identDIGITAL SIGNATURE supports Outlook on the web, new and classic Outlook for Windows where supported by the applicable Microsoft requirement set, and the new Outlook experience on Mac. A current Microsoft 365 version is required on Mac.
Automatic sign-in is intended for work or school Microsoft 365 / Entra accounts. Private Gmail or Outlook.com mailboxes that have merely been added to Outlook are not supported for automatic sign-in. An internet connection is required.
Transparent prices per activated signature
Pricing for the SIGNATURE add-on is based on the number of activated signatures. The minimum quantity is 10 users. Each user requires a digital employee profile in identDIGITAL Business.

identDIGITAL SIGNATURE is available only as an add-on to identDIGITAL Business. Digital employee profiles in Business supply the personal data for every SIGNATURE user.

Does SIGNATURE work without digital employee profiles?

If your company does not yet have profiles, identDIGITAL sets up Business and SIGNATURE together as a combined solution during onboarding.
Does identDIGITAL read or send my emails?
No. identDIGITAL does not read, send or route emails. There is no server-side mailflow through identDIGITAL. The Outlook add-in only retrieves the assigned signature and inserts it into an open new draft.
When is the signature inserted in Outlook?
The current assigned signature is inserted when the employee creates a new Outlook draft after signing in to the add-in with their work Microsoft 365 account.
Are existing drafts or old emails changed?
No. Only new Outlook drafts receive the current assigned signature. Existing drafts and emails already sent are not changed retrospectively.
What happens when an employee’s telephone number or job title changes?
An authorised administrator updates the digital employee profile centrally in identDIGITAL Business. The current assigned details are used by the SIGNATURE add-on in the employee’s next new Outlook draft.
Can different groups or people receive different signatures?
Yes. Signatures can be assigned by company, group or individual person, including central designs and individual exceptions.
Can campaign banners be scheduled?
Yes. Campaign banners can be scheduled for defined periods and assigned to the relevant company, group or person.
Which Outlook versions are supported?
Supported environments include Outlook on the web, new and classic Outlook for Windows where supported by the applicable Microsoft requirement set, and the new Outlook experience on Mac with a current Microsoft 365 version. An internet connection is required.
Is SIGNATURE included in identDIGITAL PRO?
No. identDIGITAL PRO is the personal option for one person and costs CHF 99 per year, including up to 3 personal profiles and 4 personal signatures. identDIGITAL SIGNATURE is an add-on to identDIGITAL Business for centrally managed employee signatures from 10 users; it requires a digital employee profile in Business for every user.
How is the price for business customers calculated?
Annual pricing for the SIGNATURE add-on is CHF 1.00, 0.90, 0.80, 0.70 or 0.60 per activated signature per user per month, depending on the user tier, with a minimum of 10 users. Monthly flexibility carries a 15% surcharge. All prices exclude VAT, and self-service setup is included. identDIGITAL Business is not included and is offered separately or as part of the combined solution.
How does setup work?
After a non-binding enquiry, the appropriate setup can be agreed. For organisations already using identDIGITAL Business, an administrator connects Microsoft 365, grants the intended tenant consent, matches users to digital employee profiles, configures designs and rules, and employees sign in once to the Outlook add-in. If your company has no profiles yet, identDIGITAL sets up Business and SIGNATURE together as a combined solution during onboarding. Sending an enquiry does not activate either solution or create a payment obligation.
