identDIGITAL SIGNATURE is an add-on to identDIGITAL Business, not a standalone product. Each SIGNATURE user needs a digital employee profile in Business, which supplies the personal data for the signature.

When a telephone number, job title, department, website or profile photo changes, an authorised administrator updates the digital employee profile centrally in identDIGITAL Business. The SIGNATURE add-on then inserts the current assigned signature in the employee's next new Outlook draft. Existing drafts and emails already sent are not changed retrospectively.

How central Outlook signatures work
- Connect Microsoft 365: An administrator grants the intended tenant consent and synchronises only the directory information required.
- Deploy the Outlook add-in: The administrator deploys “identDIGITAL Signatures” once for all employees in the Microsoft 365 admin centre.
- Design the signature: Configure a central design, individual exceptions, versions, banners and campaigns.
- Match & assign: Microsoft users are matched to the appropriate digital employee profiles; the signature applies to everyone, to groups or to individuals.
- Sign in once & test: Employees open “identDIGITAL Signatures” in Outlook and sign in once with their work Microsoft 365 account. The assigned signature is then inserted automatically into every new email.

- The add-in requires ReadWriteItem: read/write permission for the currently open item. The manifest does not request mailbox-wide ReadWriteMailbox permission.
- The add-in uses our API scope signature.insert to retrieve the assigned signature; Microsoft permissions are separate.
- The company connection uses directory data for users and groups. Your IT team reviews and approves the actual Microsoft permissions during setup.
- Separately requested setup emails are a distinct operation, not delivery of your Outlook correspondence.
Matched to your Microsoft 365 Outlook environment
Automatic insertion has been tested in Outlook on the web and in an iPhone pilot using Outlook iOS 5.2639.0. The manifest also supports Outlook Desktop; specific Windows/Mac versions and IT policies are tested during rollout. Android has not been universally validated. Apple Mail and other mail apps do not run this Outlook add-in.
A work or school Microsoft 365/Entra account, add-in deployment, correct account mapping and internet connection are required. Existing drafts and sent messages remain unchanged. No universal instant-insertion or mobile guarantee.
Transparent prices per activated signature
Pricing for the SIGNATURE add-on is based on the number of activated signatures. The minimum quantity is 10 users. Each user requires a digital employee profile in identDIGITAL Business.

Personal signatures or centrally managed employee signatures?
identDIGITAL SIGNATURE is available only as an add-on to identDIGITAL Business. Digital employee profiles in Business supply the personal data for every SIGNATURE user.

How does SIGNATURE work with my Outlook messages?
Automatic insertion does not transmit message text, subject, recipients or attachments to our signature service. Your messages continue to be sent through Microsoft. The add-in technically requires ReadWriteItem on the currently open item; this is not a guarantee that it cannot technically access message content. Directory connection and API scope are separate permission layers configured with your IT team. Optional setup emails remain a separate operation.
When is the signature inserted in Outlook?
The current assigned signature is inserted when the employee creates a new Outlook draft after signing in to the add-in with their work Microsoft 365 account.
Are existing drafts or old emails changed?
No. Only new Outlook drafts receive the current assigned signature. Existing drafts and emails already sent are not changed retrospectively.
What happens when an employee’s telephone number or job title changes?
An authorised administrator updates the digital employee profile centrally in identDIGITAL Business. The current assigned details are used by the SIGNATURE add-on in the employee’s next new Outlook draft.
Can different groups or people receive different signatures?
Yes. Signatures can be assigned by company, group or individual person, including central designs and individual exceptions.
Can campaign banners be scheduled?
Yes. Campaign banners can be scheduled for defined periods and assigned to the relevant company, group or person.
Which Outlook versions are supported?

No. identDIGITAL PRO is the personal option for one person and costs CHF 99 per year, including up to 3 personal profiles and 4 personal signatures. identDIGITAL SIGNATURE is an add-on to identDIGITAL Business for centrally managed employee signatures from 10 users; it requires a digital employee profile in Business for every user.
How is the price for business customers calculated?
Annual pricing for the SIGNATURE add-on is CHF 1.00, 0.90, 0.80, 0.70 or 0.60 per activated signature per user per month, depending on the user tier, with a minimum of 10 users. Monthly flexibility carries a 15% surcharge. All prices exclude VAT, and self-service setup is included. identDIGITAL Business is not included and is offered separately or as part of the combined solution.
How does setup work?
After a non-binding enquiry, the appropriate setup can be agreed. For organisations already using identDIGITAL Business, an administrator connects Microsoft 365, grants the intended tenant consent and deploys the Outlook add-in for everyone, then designs the signature and matches users to digital employee profiles; employees sign in once to the Outlook add-in. If your company has no profiles yet, identDIGITAL sets up Business and SIGNATURE together as a combined solution during onboarding. Sending an enquiry does not activate either solution or create a payment obligation.
